1. Prohibited Items for International Document Shipping

In international express shipping, the "Document / Envelope" channel enjoys customs duty exemptions and expedited clearance. However, this definition applies strictly to pure paper printouts. When sending documents, please strictly adhere to the following restrictions:

  • Strictly No Non-Document Items: Your shipment must absolutely not include CDs, USB drives, hard drives, memory cards, keys, or any physical goods. If detected by customs X-ray scanners, the shipment will be rejected, reclassified for taxation, or penalized by the courier.
  • No Rigid or Box Packaging: The document channel requires standard paper envelopes or document pouches. Do not use cardboard boxes, plastic cases, or any three-dimensional rigid packaging, otherwise the system will automatically upgrade your shipment to a "Parcel," resulting in unexpected volumetric weight surcharges.

2. Document Weight Limits and Billing Mechanisms

Major international couriers (such as DHL, UPS, FedEx) impose strict weight limits on document channels. Once a shipment exceeds these limits, it must be declared as a regular parcel:

• Maximum Weight Limit: The total weight limit for documents is generally between 2 kg and 5 kg (specific limits depend on the courier and target destination route).

How Document Shipping is Billed (Avoiding Volumetric Upgrades):

  • Total Weight 0.5 kg or below: Couriers generally calculate the shipping cost based strictly on the "Actual Gross Weight" of the shipment.
  • Total Weight above 0.5 kg: The system will compare the "Actual Weight" against the "Volumetric Weight" and charge based on whichever is higher.

Document Volumetric Weight Calculation Formula:

Volumetric Weight (kg) = Length (cm) × Width (cm) × Height (cm) ÷ 5000

3. Recommended Packaging Tips for Protection

Documents can easily be damaged by weather conditions or compression during transit. We strongly recommend following these protective steps:

  • Use Waterproof Inner Packaging: Place crucial contracts, certificates, or BNO/passport materials into a transparent waterproof folder (L-shape folder) or a sealed plastic ziplock bag first.
  • Utilize the Official Courier Envelope: Place your waterproofed inner pouch into the rigid cardboard document envelope provided by the courier during collection.
  • Custom Packaging Choices: If you are shipping thicker items like annual booklets or manuscripts that cannot be folded, you can opt to use your own padded bubble mailer instead of the flat envelope, provided you measure its dimensions accurately.

4. Step-by-Step Courier Handover Process

Shipping international documents via Fuuffy's self-service platform is incredibly simple:

  • Book and Download: Once payment is processed online, Fuuffy will email you the official shipping label (Waybill PDF), which can also be downloaded from your dashboard. Please print this clearly.
  • Handover to Driver: When the courier arrives, simply hand over the printed physical waybill along with your prepared document.
  • No Need to Stick the Label Yourself: You do not need to tape the label onto the envelope yourself. The collection driver will provide an official transparent plastic adhesive pouch on-site to seal and securely attach your shipping label to the envelope.

Courier drivers usually provide standard cardboard document envelopes for free upon arrival. However, to minimize handover times and ensure your files do not get damp before arrival, we highly recommend packing and sealing your documents internally before the driver arrives.
